A plain English read of how Manorway collects, uses, and protects information across our website, platform, and connected services.

Who we are
Manorway Group (“Manorway,” “we,” “us,” or “our”) provides AI assisted governance and management software for homeowner and condominium associations. This Privacy Policy describes how we handle information collected through www.manorwayhoa.com (the “Site”), our application at app.manorwaygroup.com, our admin portal at admin.manorwaygroup.com, and connected marketing channels and integrations.
Information we collect
We collect information in four ways:
- Information you give us directly. Your name, email address, phone number, association or property details, the US state you operate in, and any messages you send through contact, demo request, newsletter, or onboarding forms.
- Information collected automatically. Standard web analytics data such as pages viewed, referring URL, browser type, device type, approximate location derived from IP, and timestamps. We use this to understand site performance and improve content.
- Information derived from your IP address for state detection. Our hosting provider Vercel adds country and region headers based on your IP. We use those headers to set your state preference cookie on first visit so we can show you content for the right US state. We do not store your IP address in our own database.
- Information from connected services. When you sign in or connect outside services such as email or identity providers, we receive only the data fields required to deliver the requested feature.
Cookies and similar technologies
We use a small number of cookies and similar browser storage items. Most are strictly necessary or preference items. Two analytics scripts (Google Analytics 4 and Ahrefs Web Analytics) only load if you opt in through our consent banner. We do not run any retargeting pixels, advertising trackers, or cross site tracking on this site.

How we use information
We use the information we collect to:
- Respond to inquiries, demo requests, and onboarding conversations.
- Operate, maintain, and improve the Manorway platform and Site.
- Show you content for your US state so statute references and compliance reminders match where your association operates.
- Send transactional communications (account confirmations, service updates) and, with your consent, marketing communications you can unsubscribe from at any time.
- Comply with legal obligations and protect the integrity of our services.
We do not sell personal information, and we do not use personal information to train outside AI models. AI features within our platform process association data only to deliver the requested function (for example, summarizing a meeting transcript or drafting a board response). A human reviews every AI generated output before it is published or sent.
Service providers who touch your data
We share personal information only as needed to operate our service. The categories of recipients are listed below, along with the providers we use today.
- Hosting and edge delivery. Vercel hosts our website and runs the edge middleware that sets your state preference cookie. Vercel sees every request including your IP address.
- Database and authentication. Supabase hosts the database that holds form submissions, account information, and platform data. Supabase processes every authenticated request through its API gateway.
- AI processing. Anthropic powers the assistant and the draft generation features inside our platform. Content that you ask the assistant to work on is sent to Anthropic for inference and is not used to train their models per their commercial terms. OpenAI is used to generate illustrative images for our blog and is not used on customer data.
- Analytics, only if you opt in. Google Analytics 4 and Ahrefs Web Analytics measure aggregate site performance. Neither is loaded unless you opt in.
- Email delivery. Outbound email (welcome emails, newsletter, transactional notifications) is sent through Google Workspace and Supabase Edge Functions.
- Payments. Stripe processes any future paid subscriptions. We do not store full payment card numbers ourselves.
- Legal and safety recipients when we are required by law or have a good faith basis to protect rights, property, or safety.
- Successors in the event of a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this Policy.
The full subprocessor list lives on our Security page. We update it when providers change.
Social media and LinkedIn integration
Manorway maintains a presence on LinkedIn and other social networks. We use LinkedIn’s Marketing Developer Platform and Community Management APIs to publish content to our own Manorway Group company page and to read engagement metrics (likes, comments, shares, impressions) about content we have published.
When we use these APIs, the only personal data we receive is the public profile information that LinkedIn members have already chosen to make public when they engage with our content (for example, the name, headline, and profile photo of a commenter). We use this information solely to:
- Display engagement on our own posts.
- Reply to comments or messages directed at our company page.
- Measure aggregate performance of our marketing content.
We do not contact LinkedIn members based on this data outside of the LinkedIn platform, we do not enrich it with data from other sources, and we do not sell or share it with outside parties. Engagement data is retained only as long as it remains available through LinkedIn’s APIs or is needed for internal performance reporting, and is deleted on request.

Data retention
We retain personal information for as long as needed to deliver the service you requested, comply with our legal obligations, resolve disputes, and enforce our agreements. Newsletter subscribers are retained until they unsubscribe. Form submissions and demo requests are retained for up to two years from last contact. Authenticated platform data is retained for the life of the association account and for one year after termination. When information is no longer needed, we delete or de identify it.
Security
We use industry standard administrative, technical, and physical safeguards to protect personal information, including encrypted transport (HTTPS), encrypted storage, role based access controls, and audit logging. Full technical detail lives on our Security page.
Your rights
You may, subject to applicable law:
- Request a copy of the personal information we hold about you.
- Request that we correct or update inaccurate information.
- Request that we delete your personal information.
- Withdraw consent for marketing communications at any time.
- Withdraw consent for analytics cookies at any time through our Cookie Policy page.

Notice for California residents
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you specific rights about your personal information:
- Right to know. Ask us what categories and specific pieces of personal information we have collected, where we got it, why we collected it, and who we shared it with.
- Right to delete. Ask us to delete personal information we collected from you, subject to legal retention requirements.
- Right to correct. Ask us to fix inaccurate personal information.
- Right to opt out of sale or sharing. We do not sell personal information for money, and we do not share personal information for cross context behavioral advertising. There is nothing to opt out of today. If that ever changes, we will publish a clear opt out link on every page.
- Right to limit use of sensitive personal information. We do not use sensitive personal information for any purpose other than delivering the service you requested.
- Right to non discrimination. We will not deny you service, charge you a different price, or provide a different level of quality because you exercised a CCPA right.
To exercise any of these rights, email hello@manorwaygroup.com with “California Privacy Request” in the subject line. We will verify your identity before responding. You may designate an authorized agent to submit a request on your behalf.
Categories of personal information we collect. Identifiers (name, email, phone), commercial information (forms you have submitted, demo interactions), internet activity (pages viewed, referring URL), geolocation data (state derived from IP, only at the state level), and inferences drawn from the above (for example, which state your association operates in).
Children’s privacy
The Site and platform are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be highlighted on the Site or communicated by email where appropriate.
